You're nearly there — but here's the question I get asked most often: "Who's going to make sure everything actually runs on the day?"

That's where on-the-day wedding coordination comes in. And as someone who has coordinated weddings across two hemispheres — from the UK, Italy to Australia — I can tell you it's the piece of the puzzle most couples wish they'd done or locked in sooner.

 

What Is On-the-Day Coordination?

On-the-day coordination (sometimes called "day-of coordination") is exactly what it sounds like: having a dedicated professional to manage the logistics of your wedding day so you don't have to. Think of it as the difference between being a guest at your own wedding versus the event manager of it.

It's ideal for couples who've loved planning their wedding (or not!) but want someone else to take the reins on the actual day — so they can be fully present for every moment.

What's Actually Included?

Here's what on-the-day coordination looks like in practice:

In the weeks leading up to your wedding: Your coordinator steps in 2–4 weeks before the big day to consolidate your suppliers, timelines, and logistics. You hand over all vendor details — the florist, the caterer, the DJ, the photographer — along with arrival times, venue set-up requirements, and your draft run sheet for review and feedback. We also confirm key roles on the day (hello, MC!) and make note of any specific priorities or non-negotiables that matter most to you.

Your personalised run sheet: I ensure that you have a detailed, structured timeline for your entire day. This becomes the single source of truth for you, your wedding party, and every supplier involved. This will ensure you don’t have a moment of "Oh no, we forgot this!”

On the day itself: This is where the magic (and the behind-the-scenes hustle) happens. I'm there from set-up to send-off, managing:

  • Supplier arrivals and set-up

  • Guest arrivals and seating

  • Bridal party coordination

  • Ceremony timing and cues

  • Transition from ceremony to reception

  • Reception flow — entrances, speeches, first dance, cake cutting, and everything in between

  • Troubleshooting anything that doesn't go to plan (because something always does!)
